Job Description: Administrative Assistant (Bilingual English-Spanish)
Position Summary
We are seeking a highly organized, detail-oriented, and bilingual (English/Spanish) Administrative Assistant to support daily operations. This role is essential in ensuring smooth office functioning by providing comprehensive administrative, clerical, and logistical support. The adecuado candidate will be the first point of contact for clients and visitors, manage communications, coordinate schedules, and handle a variety of administrative tasks, serving as a key partner to the management and operations teams .
Key Responsibilities
Office Administration & Reception
- Serve as the first point of contact for clients and visitors, greeting them professionally in person, by phone, and via email, determining their needs and directing them accordingly .
- Manage incoming and outgoing communications, including answering phone calls, sorting mail, and handling general correspondence .
- Maintain office supplies inventory, coordinate with vendors, and ensure the efficient operation of office equipment .
Documentation & Record Keeping
- Prepare, organize, and manage both physical and digital files, ensuring accurate recordkeeping and document filing .
- Draft, edit, and prepare correspondence, reports, presentations, and other documents .
- Assist in validating formats, maintaining orderly digital structures, and supporting document management processes .
- Handle confidential information with discretion and professionalism .
Scheduling & Logistics
- Manage and coordinate calendars, schedule appointments and meetings, and organize video conferences .
- Coordinate travel arrangements and prepare expense reports .
- Assist with the logistical organization of events, team meetings,
and other activities .
Operational & Financial Support
- Support the implementation of administrative and operational processes, ensuring adherence to company policies and guidelines .
- Assist with basic billing, invoicing, and tracking of expenses or cash flow (e.g., petty cash) as needed .
- Help prepare status reports, track deliverables, and follow up on various administrative tasks .
Required Qualifications
Experience & Education
- High School Diploma required; an Associate's or Bachelor's degree in Business Administration or a related field is preferred .
- Minimum of 1-2 years of proven experience in an administrative support or office management role .
Language Skills
- Fully fluent in English and Spanish, both spoken and written. This is a mandatory requirement for the role .
Technical Skills
- Expert proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Teams) .
- Familiarity with video conferencing tools and project management or database software is a plus .
- High typing speed and accuracy for document processing .

Job Types: Full-time, Part-time
Pay: $270,751 - $892,584 per month
