Organizational context: The Programme, Planning and Operations Division within the Economic Commission for Latin America and the Caribbean (ECLAC), a UN regional commission established in 1948, seeks a Team Assistant. This role supports the division's mission to contribute to the region's economic and social development through policy design, monitoring, advisory services, and fostering cooperation.
Job purpose: The Team Assistant will provide comprehensive office support and administrative functions within the Programme, Planning and Operations Division of ECLAC. This role is crucial for ensuring the smooth operation of the division by managing correspondence, producing complex documents, monitoring processes, and organizing information. The incumbent will support meetings, manage schedules, handle data entry, process mail, and maintain records. By performing these duties, the Team Assistant directly contributes to the division's ability to deliver on its mandate of supporting economic and social development in the region through effective policy support and coordination.
Responsibilities: The Team Assistant is responsible for a broad range of office support and administrative duties. This includes drafting and responding to correspondence, producing complex documents and reports using standard software, and monitoring unit processes and schedules. The role involves verifying document accuracy and compliance, researching and compiling information for various outputs, and generating statistical reports. Key tasks also include proofreading and editing texts,
screening calls and visitors, and responding to information requests. The position provides secretarial, administrative, and logistics support for meetings and conferences, assists with presentation materials, and manages calendars and schedules. Additionally, the Team Assistant performs data entry, processes mail, maintains distribution lists, coordinates shipments, and handles general administrative tasks such as leave recording, meeting arrangements, and processing administrative requests like requisitions and travel authorizations. Maintaining files and databases, and assisting with data collection and analysis for reports are also core responsibilities.
Education: A high school diploma or equivalent is required. Candidates must clearly indicate relevant information confirming completion of High School in their Applicant Profile.
Work experience: A minimum of three years of experience in general office support or related areas is required. This is reduced to one year for candidates with a first-level university degree. Experience in international organizations, ERP systems (like SAP), and data analytics is desirable.
