Department: Administration / Operations / Human Resources
Reports To: Office Manager / Senior Executive
Employment Type: Full-time / Part-time / Internship
About the Role
We are looking for a highly organized and proactive Junior Assistant to join our team. In this entry-level role, you will provide administrative and operational support to ensure the smooth running of the department. This is an excellent opportunity for a recent graduate or someone starting their career to gain hands-on experience in a fast-paced environment.
Key Responsibilities
Administrative Support:
- Answer and direct phone calls, emails, and other correspondence.
- Manage calendars, schedule meetings, and coordinate appointments.
- Prepare and edit documents, reports, and presentations.
- Maintain both digital and physical filing systems.
- Handle copying, scanning, and mailing of documents.
Data & Office Management:
- Enter data into company databases and ensure accuracy.
- Order office supplies and manage inventory.
- Assist with travel arrangements and expense reports.
- Support the team with ad-hoc administrative tasks as needed.
Communication & Coordination:
- Liaise with internal departments and external vendors.
- Greet visitors and provide general support to guests.
- Take minutes during meetings and distribute them to attendees.
Requirements & Qualifications
Education:
- High school diploma or equivalent required.
- Associate’s or Bachelor’s degree in [Business Administration / Communications / related field] is preferred.
Experience:
- 0–2 years of experience in an administrative or office support role.
- Internship experience is a plus.
Skills:
- Language: Proficiency in [English / Spanish / etc.] (written and spoken).
- Technical: Basic knowledge of MS Office (Word, Excel, PowerPoint) and Google Workspace.
- Soft Skills:
- Strong organizational and time-management skills.
- Excellent verbal and written communication.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Discretion and confidentiality.
Job Types: Full-time, Part-time Pay: $1,000,000 - $2,100,000 per year
Expected hours: 40.0 per week
