We are hiring an experienced Virtual Medical Assistant with strong chart preparation experience in a U.S. medical practice.

This is NOT a scheduling or general VA role.

We are specifically looking for candidates who have worked on pre-visit chart preparation and insurance verification.

Required Experience

- 1–2+ years of chart prep experience in a U.S. healthcare setting
- Experience preparing patient charts before appointments
- Insurance verification experience
- Experience checking:
- Referrals
- Prior authorizations
- Eligibility & benefits
- PCP assignment
- Coordination of benefits
- Experience using portals such as:
- Availity
- UHC
- Tricare
- Cigna
- Other payer portals

Main Responsibilities

- Prepare and review patient charts 24–48 hours before appointments
- Verify demographics, insurance, referrals, and authorizations
- Confirm authorization details (auth #, visits, validity dates, POS)
- Identify missing information and resolve issues before visits




- Contact patients regarding missing documents or financial responsibility
- Coordinate with PCP offices for referrals
- Document verification notes and reference numbers accurately

Additional Duties

- Verify insurance eligibility and benefits
- Calculate patient responsibility when needed
- Flag inactive insurance or authorization issues immediately
- Ensure add-on patients are fully cleared before visits
