We are hiring an experienced Virtual Medical Assistant with strong chart preparation experience in a U.
S. medical practice. This is NOT a scheduling or general VA role. We are specifically looking for candidates who have worked on pre-visit chart preparation and insurance verification. Required Experience
• 1–2+ years of chart prep experience in a U.
S. healthcare setting
• Experience preparing patient charts before appointments
• Insurance verification experience
• Experience checking:
• Referrals
• Prior authorizations
• Eligibility & benefits
• PCP assignment
• Coordination of benefits
• Experience using portals such as:
• Availity
• UHC
• Tricare
• Cigna
• Other payer portals Main Responsibilities
• Prepare and review patient charts 24–48 hours before appointments
• Verify demographics, insurance, referrals, and authorizations
• Confirm authorization details (auth #, visits, validity dates, POS)
• Identify missing information and resolve issues before visits




• Contact patients regarding missing documents or financial responsibility
• Coordinate with PCP offices for referrals
• Document verification notes and reference numbers accurately Additional Duties
• Verify insurance eligibility and benefits
• Calculate patient responsibility when needed
• Flag inactive insurance or authorization issues immediately
