Tidal is a Direct Placement Agency that helps job seekers find job opportunities for real growth. We work with stable, responsible businesses that are experienced in remote hiring and are excited to welcome international team members. Tidal is owned and operated by consumer brand owners and operators. We have experience in offshore team-building and aim to help businesses leverage global talent.

About This Role:
We're looking for a proactive, highly organized Executive Assistant & Business Operations Manager to support the leadership team of a growing eCommerce sporting goods brand. This hands-on role combines executive support, project coordination, and daily operations, using Asana to manage priorities, streamline workflows, coordinate teams, and ensure accountability. Idóneo candidates have experience in executive support, Chief of Staff functions, or cross-functional business operations rather than traditional IT, software, or construction project management.

Key Responsibilities:

- Executive & Leadership Support: Partner closely with leadership to organize priorities, anticipate needs, coordinate meetings, and follow up on important decisions and commitments.
- Asana & Workflow Management: Maintain and improve Asana projects, task assignments, deadlines, dependencies, recurring workflows, and accountability systems.
- Cross-Functional Coordination: Work across sales, wholesale, creative, finance, logistics, and operations to track progress, resolve blockers, and keep teams aligned.
- Project & Task Execution: Coordinate business initiatives from planning through completion, ensuring owners, deadlines, and next steps are clearly defined.
- Meeting & Follow-Up Management: Prepare agendas, document decisions, assign action items, and ensure commitments are completed.
- Process Improvement: Identify gaps in workflows,

handoffs, and recurring processes, and recommend practical improvements.
- Documentation & Reporting: Maintain SOPs, project trackers, operational documents, and clear progress updates for leadership.
- Operational Accountability: Proactively flag delays, follow up with stakeholders, and escalate issues when necessary.

Software/Platforms/Tools:

- Asana: Strong hands-on proficiency required, including task management, project tracking, recurring workflows, and cross-functional coordination.
- Google Workspace (Sheets, Docs, Calendar)
- Slack
- Microsoft Excel
- Claude, ChatGPT, or similar AI tools
- Familiarity with Notion, Click Up, Monday.com, or similar platforms is a plus.

Qualifications

- At least 3 years of relevant experience in executive assistance, Chief of Staff support, business operations, project coordination, or a similar cross-functional role.
- Proven experience supporting senior leaders, managing competing priorities, and coordinating work across multiple departments.
- Intermediate to advanced Asana proficiency, with the ability to independently manage tasks, workflows, deadlines, and stakeholder accountability.
- Strong experience in project coordination, process documentation, SOP development, and operational follow-through.
- Excellent English communication skills (C1/C2), both written and verbal, with confidence communicating directly with US-based leadership.
- Comfortable following up with senior stakeholders and holding teams accountable professionally and respectfully.
- Highly organized, resourceful, proactive, detail-oriented, and comfortable working independently.
- Strong judgment, discretion, and the ability to handle confidential business information.
- Experience supporting eCommerce, DTC, wholesale, retail, or consumer brands is strongly preferred.

Shift Schedule:

- Monday to Friday, approximately 40 hours per week, with 4–5 hours of daily overlap with US Pacific Time business hours for meetings, coordination, and stakeholder follow-ups. Remaining hours may be completed asynchronously, with the final schedule agreed upon directly with the client.
