Office Manager / HR Coordinator

Location: Santiago, Chile

Department: HR / Operations

Reports To: Head of HR, Americas

? Please note: This is a full-time, office-based position located at our new office in Santiago, Chile . As a key member of the founding local team, this role requires your full presence to establish office culture and manage daily operations. Remote or hybrid work arrangements are not available for this role.

Position Overview

We are looking for a proactive and organized Office Manager / HR Coordinator to support the launch and daily operations of our new Santiago office. This dual-purpose role is ideal for a "multitasker" who enjoys both the operational side of running an office and the people-centric side of HR. You will be the face of the office, ensuring a seamless environment for our team while providing essential HR administrative support to ensure local compliance and a great employee experience.

Key Responsibilities

- Establish a high-functioning, professional physical workspace from the ground up by managing daily operations - including reception, mail, and security.
- Overseeing vendors for utilities and maintenance and leading the procurement of office supplies, furniture, and IT hardware.
- Prepare workstations for new hires, coordinate with IT for hardware and system setup.
- Ensure implementation of health and safety policies and coordinate with cleaning staff to maintain a safe, hygienic workplace.
- Manage office meals, snacks, and refreshments.
- Manage office-related insurances and ensure compliance with company policies.
- Handle office-related invoicing and coordinate with finance for accurate and timely payments.
- Oversee logistics for company vehicles, including maintenance, usage policies, and documentation.
- Foster a vibrant, collaborative office culture by acting as a local culture ambassador, organizing team-building events and celebrations.




- Work in close partnership with the global HR team and leadership in other locations to ensure the Santiago entity operates with administrative precision and legal integrity by maintaining employee files in accordance with the Chilean Labor Code.
- Assist in coordinating local payroll inputs such as AFP/Isapre tracking and serve as the local point of contact for health insurance and benefits administrators in alignment with global finance and HR standards.
- Assist in creating a seamless employee experience that reflects global standards by owning local onboarding logistics - from preparing workstations to collecting legal documentation - and supporting the global talent team with local interview coordination and candidate visits.
- Collaborate with HR colleagues across our international offices to ensure localized policy development aligns with our global mission.
- Assist in keeping the local employee handbook updated and ensuring all HRIS records remain accurate and audit-ready.

Requirements

- Bachelor’s degree in Business Administration or a related field.
- 3+ years of experience in Office Management or HR Coordination, preferably within a fast-growing tech or international environment.
- Professional proficiency in both English and Spanish to facilitate daily collaboration with global teams and local vendors.
- Basic understanding of Chilean employment law, social security systems (AFP/Isapre), and local compliance standards.
- Demonstrated ability to work independently to set up a new office environment while remaining a collaborative partner to remote HR teams.
- Proficiency with digital collaboration tools (Slack, Google Workspace) and basic payroll coordination.
- Excellent organizational skills and a high level of attention to detail to ensure local operations meet general audit standards.

Compensation: Final salary will be determined based on the candidate's unique experience and qualifications.
