Org. Setting and Reporting
Position located in Division of Production, Productivity and Management. Reports to Chief of Division. Economic Commission for Latin America and the Caribbean is one of five regional Commissions of the United Nations. Founded in 1948 to contribute to the region’s economic and social development. Mission: design, monitor and evaluate public policies; provide advisory services, expertise and training to governments; support regional and international cooperation and coordination activities. Responsibilities
- Assist in coordination of programme/project planning and preparation for medium-size, complex components of departmental initiatives; monitor status of proposals and receipt of documentation for review and approval.
- Compile, summarize, and present basic information/data on specific programmes/projects and related topics.
- Review project documents, especially cost plans/budgets, for completeness and compliance before submission for final approval; identify inconsistencies; distribute documents to relevant parties after approval.
- Support management in coordinating division’s agenda to minimize risk of overlaps between activities implemented by different units.
- Review budget revisions; verify availability of funds; ensure necessary approval and entry in computerized budget system.
- Serve as focal point for administrative coordination of programme/project implementation; liaise with diverse units to initiate requests, obtain clearances, process and follow up on administrative actions (recruitment, travel arrangements, training, payments, procurement of equipment/services).
- Compile, summarize and enter data on project delivery; draft status reports, identify shortfalls,
budget overruns; bring to management attention.
- Assist with collection and analysis of data; prepare data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
- Assist with visualizations and updating information material such as web pages or brochures.
- Draft correspondence on budget-related issues; prepare and update periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets.
- Provide general office assistance; respond to complex information requests, review and route incoming correspondence; set up and maintain files/records; organize meetings; handle routine administrative tasks such as maintaining attendance records and assessing telephone billing.
- Provide guidance/training to new/junior staff.
- Perform other duties as assigned.

Education
High school diploma or equivalent is required. Candidates applying for General Service category must clearly indicate completion of high school.

Work Experience
At least five (5) years of experience in programme or project administration, technical cooperation or related area. Minimum years reduced to three (3) for candidates with a first‑level university degree or higher. At least five (5) years in conferences and meetings organization and planning required. At least five (5) years of professional experience in an international development organization desirable. One (1) year or more of experience in data analytics or related area desirable. Familiarity with enterprise resource planning systems such as SAP and institutional programme management platforms desirable.
Languages
Required Languages : English (UN Level III), Spanish (UN Level III).
Desirable Languages : Arabic (UN Level II), French (UN Level II), Chinese (Mandarin) (UN Level II), Russian (UN Level II).
