Please note: These shifts will initially be based at Minor Injuries Unit (MIU), QMH on a temporary basis. It is expected that from early 2027, the post holder will work primarily at VHK with only occasional requirements to provide cover at MIU, QMH.
About the Role
We require a Clerical Officer to provide admin/clerical support within the Health Records Department at Victoria Hospital, Kirkcaldy.
It will be the job holder’s responsibility to work within the DHRS team, covering A&E; at VHK and occasionally at MIU, QMH.
Working in A&E; and MIU, the job holder must provide a front line service to patients arriving at each department and is vital for the provision of recording of patient attendance and admissions via Trakcare. The role requires confidence in dealing with anxious and upset patients/relatives, showing empathy and delivering professional customer service.
Key Responsibilities
- Run off reports and accurately update data along with preparing and scanning medical casenotes/ED cards, uploading to the clinical portal.
- Be trained within NHS Fife Switchboard, handling calls, responding to pager requests, emergency calls, monitoring alarms and providing advice and support on telephony services.
- Adhere to duties requested by Health Records Supervisors to ensure efficiency across the 24/7 Inpatient and Emergency team.
- Maintain a high level of accuracy and attention to detail as data is uploaded to a live clinical system.
- Prioritise and manage day-to-day workload in a busy environment; work independently and as part of a team.
Qualifications & Experience
- Educated to Standard Grade (or equivalent) with passes in English and Arithmetic.
- Good keyboard/typing skills and the ability to work on your own initiative.
- Good organisational and listening skills; versátil approach to working.
- English language competency and communication skills necessary to perform this role safely and effectively.
- Relevant admin/clerical experience available.

A requirement of this post is to become a member of the Protection of Vulnerable Groups (PVG) Scheme prior to appointment.
To work in the United Kingdom, applicant must have the relevant permission to work in the country, demonstrated through a UK Visa and Immigration Service granted route or EU settled/pre‑settled status. Applicants must ensure that they have an appropriate right to work in the UK before submitting the application.
As of 1/4/26, the Agenda for Change full‑time working week will be reducing from 37 to 36 hours per week. Part‑time hours will be reduced pro‑rata. The corresponding increase in hourly rate will ensure pay is not affected.
