- Responsibilities
- Under the general supervision of the Chief of the Documents and Publications Division, the incumbent will be responsible for the following duties: -Manages the overall programming in the Documents Control Unit, which is responsible for organizing and monitoring the flow of work related to documents and publications; indicates priorities and deadlines; distributes work to Unit supervisors and to outside contractors when necessary. -Screens documentation, supplements and publications submitted for production in order to ensure compliance with submission standards and regulations. -Oversees programming of work unit; distributes assignments, ensuring efficient and effective processing of documentation and an equitable distribution of work. -Supervises the work of the Documents Assistant (G5). -Performs administrative work, including the maintenance of daily statistics. -Confers and collaborates with other units in order to maximize resources; this includes identifying statistical charts, diagrams and organigrams for utilization by other units. -Monitors the progress of the production process, making recommendations to the Chief of the Division, modifying job priorities and delivery dates. -Manages and supervises the Documents Control System (DCPMS): distributes and coordinates the flow of information to enable each Unit to enter its inputs into the system, advises on its use,



monitors the quality and timeliness of information prepares reports and statistics on production and management; Coordinates with help desk in New York, regarding changes and adjustments to DCPMS. -Maintains inventory of and responds to all requests for units' past outputs. -Assures smooth continuity with respect to consecutive work shifts. Prioritizes work to be continued and gives special instructions as needed. -Rotates in shifts, as well as weekend on-call duties, as needed. -Depending on the needs of the service, availability for overtime is expected. -Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. -Assists with visualizations and updating information material such as web pages or brochures. -Performs other related work as required.
